As we move away from google and its supporting apps like google drive we are moving toward a new file storage. SharePoint in Teams. This feature is easy to use and incorporates simple communication and collaboration with the whole team
Using SharePoint Teams:
The following is the process to using SharePoint file storage in Microsoft teams.
Navigating a Channels Files
Go to the teams application in Teams, select the desired channel, Click on the Files tab at the top of the screen. You can then browse files by channel or search for specific files or channels using the search bar.
Uploading Files to a channel
To upload files click on the Files tab at the top of the screen within the desired team and channel. You can then click on the Upload button to upload files from your computer. We do recommend from now on that any files that need creating should be created in the correct spot in teams from the get go to avoid needing to upload it later.
Creating Folders
To upload files click on the Files tab at the top of the screen within the desired team and channel. You can then click on the New folder button to create a new folder. Name and colour this folder how ever you want.
Sharing Files
In Microsoft Teams all files uploaded into a the channel of team is automatically shared with everyone that has access to the channel. This will not notify anyone of a file upload, so we recommend an accompanying post to show your team that a file has been uploaded.
Collaborating on Files
All files uploaded to a channel is able to be collaborated on with all other members of the channel. This is a live feature like google docs. Allowing all members to see changes as they happen. On Default the auto save option will be turned on but also make sure that you save the page regularly.
My Drive Equivalent
Teams has a my drive equivalent called my files. We recommend pinning it to the applications section. All the same features are available in your personal files as well.
Navigating My Files
Click on the application pinned to the left tab under chat and teams. Alternatively you can click on your profile picture at the top of the screen and select Files. You can then browse files by folder or search for specific files using the search bar.
Uploading to My Files
Click on the application pinned to the left tab under chat and teams. Alternatively click on your profile picture at the top of the screen and select Files. You can then click on the Upload button to upload files from your computer.
Creating Folders in My Files
Click on the application pinned to the left tab under chat and teams. Alternatively click on your profile picture at the top of the screen and select Files. You can then click on the New folder button to create a new folder.
Sharing Files
We ask that all files that need to be shared be shared within the necessary team and channel. But another method is to click on the application pinned to the left tab under chat and teams. Alternatively click on your profile picture at the top of the screen and select Files. You can then click on the Share button to share files with other members in your organisation.
Collaborating on Files
Please do not collaborate on files from the My Files section. We ask that you use the teams and channels files system to share and collaborate on files. Thank you.
